Can companies outside the United States subscribe?
Yes, in countries Actual has enabled. If your country is still under review, you can create an account and use an available free plan, but paid upgrades remain unavailable until our legal, tax, and operational review is complete. Paid subscriptions are billed in USD; currency-conversion fees and applicable taxes may apply.
Are Actual cards and ACH vendor payments available internationally?
Not currently. Actual-issued cards and Actual ACH vendor payments require an eligible U.S. company using USD as its base currency. A plan may include these services without guaranteeing company eligibility; supported international companies can still use the plan’s other software features.
What makes up my monthly total?
Your monthly total is the base subscription, any admins beyond the included seats, and the eligible payment-service fees you use. Current paid plans charge USD 20/month per additional admin. Actual Max is USD 250/month with 4 admins included. Production users are unlimited on every public plan. Legacy subscriptions retain their saved terms unless updated.
Do production users count as paid admin seats?
No. Invite as many production users as each job needs. Admin pricing applies only to people who manage company-wide settings, billing, roles, and access.
What is a Service Bid?
A Service Bid is a budget from a third-party company offering services for your production—for example, a local production team supporting your shoot in South Africa. Invite companies with a brief, review their detailed budgets, and request revisions. Client review and approval of your production budget is a separate workflow.
Do invited bidders or client reviewers need a paid plan?
No. Invited production service companies can submit their budgets and invited clients can review published production budgets at no charge. Your company needs a plan that includes the corresponding collaboration feature.
What does physical-card delivery cost?
For eligible U.S. companies on a card-enabled plan, virtual card creation is included. Each physical card order is USD 5 standard (5–8 business days), USD 20 express (4–5 business days), or USD 35 priority (2–3 business days). Delivery windows are estimates.
How do the Auto Invoice and Auto Vendor Import limits work?
Each feature has its own monthly allowance: Actual includes 2 Auto Invoice Imports and 2 Auto Vendor Imports, Pro includes 50 of each, Studio includes 100 of each, and Max includes unlimited imports. Invoice imports create draft POs; vendor imports turn completed W-9s into vendor drafts for review.
How does the built-in AI budget assistant work?
Add bid packages and project files to a private data room for a budget. Share notes, answer follow-up questions, and review a draft with source references and unresolved costs before applying it. The plan comparison shows each plan’s data-room storage and AI budget allowance.
How do storage and AI budget allowances work?
Storage is shared across your company’s budget data rooms, with individual file limits. A new AI-enabled budget counts when its first usable draft or after-action report is created. Uploads alone do not count, and revisions on that budget use no additional allocation. The monthly allowance resets on the first of each month in UTC. Legacy subscriptions retain their saved features and may need a plan update to add the assistant.
Which integrations are included with each plan?
Actual Pro, Studio, and Max can email approved invoice details and files to external AP mailboxes. Studio and Max include QuickBooks integration. Max also lets your team build connections to your own reporting and internal tools through scoped APIs and webhooks. Compatible AI agents connect through MCP to read or edit budgets and templates and export PDFs within the permissions you choose. MCP connections are separate from the built-in AI budget assistant.
